Food & Drink

What food options do you offer?

At Hidden River Barn, food is all about you. We’re not a traditional wedding venue, we’re fun and modern, so there’s no one-size-fits-all menu here. If you’re dreaming of relaxed Italian or Greek banquet vibes – long tables, big bowls, sharing plates and plenty of wine – you’re absolutely in the right place.

Prefer something a little more refined? We’ve got you covered. Opt for a fully plated, locally sourced menu and treat your guests to beautifully presented dishes made with the best seasonal ingredients.

And when it comes to dessert… anything goes. From tiramisu towers to dessert canapés (and everything in between), chances are we’ve heard it – and loved it – before. All ideas are welcome, because after all, it’s your day, and your wedding should taste exactly how you want it to.

How long does a typical Wedding Breakfast take?

Wedding breakfasts can take around 1.5 – 2 hours depending upon your guest numbers and Wedding Breakfast choice.

Can I offer my guests a choice of dishes?

Again, dependent upon choices made – you can offer up to 3 options per course to your guests (for an additional charge of £3 per head per extra choice, this must include a vegetarian/vegan choice) for the wedding breakfast and a pre order will be required. Allergies or intolerances can be catered for but must be brought to our attention no later than 2 months prior to your wedding day.

Do you allow outside catering or corkage?

No. Please note this also includes alcoholic items used as favors.

Is it necessary to cater for all of our evening guests?

Yes, we do ask that all of your evening guests are catered for. We would hate for anyone to go hungry!

Do you cater to dietary requirements?

Yes, if you or your guests have any allergies or intolerances please let your coordinator know no later than 2 months prior to your wedding day, or at your planning meeting. If you have a large amount of guests with dietaries attending your wedding then your coordinator will need to advise what menus you can choose before confirming.

Do you have a cake knife that we can use?

We have a knife that you can use to cut your cake however if you want something particularly fancy then we would suggest to bring your own. We do not charge a cake cutting fee either.

Our Venue

Are we allowed to organize a get together the following day in one of the Cabin’s/House?

All of our properties have been lovingly built for between 4 and 18 guests guests and in order for us to keep them looking lovely and in good condition for all future guests, any night before or next day gatherings would need to happen either in the Barn or in the Restaurant.

What are your minimum numbers and pre-spend required to hire Hidden River Cabins?

We are lucky enough to be able to cater for any size wedding – from just an intimate 2 person ceremony to the more elaborate 250 party. Please contact us for more information on minimum packages.

I’ve now booked my wedding at Hidden River Cabins, what is the role of my wedding coordinator?

Your dedicated wedding coordinator is there to organise all in house aspects of your big day between booking your wedding right up until the day before. From initial viewing right through to planning meetings, viewings and the big day itself.

The day prior, you’ll meet with your wedding coordinator who will then oversee the running of your special day. Your wedding coordinator will look after all food and drink requirements, timing and flow of the day, additional extras and advice regarding external suppliers. All members of our lovely team have a wealth of knowledge and experience and are all always on hand to answer any questions you may have, no matter how small or silly they seem – you are in safe hands!

How often can I meet with my wedding coordinator?

You can meet with your wedding coordinator as many times as you like, although she is busy so it’s best to book in advance! We are always on hand if you would like to catch up at any stage of your wedding planning. We recommend having your final details meeting 8-12 weeks prior to the big day, where all aspects of your day are covered.

Do you allow marquees or bouncy castles?

We do indeed, however this does need to requested before committing first with an external supplier as a cost may be incurred to help with ground repair costs. All booked suppliers must have the appropriate level of Public Liability Insurance.

Do you have a list of recommended suppliers to help plan my day?

Yes of course! Please do not hesitate to ask your coordinator after securing your wedding date for this exclusive, handpicked list of our favourite wedding industry suppliers.

Can I bring my dog to my wedding?

We’re delighted to welcome dogs to be part of your wedding day. Whether they’re joining you for photos or staying in the cabins with you, they’re more than welcome – as long as they bring their own beds. If you need an extra hand, we also have a trusted dog sitter/chaperone who can take care of them during your celebrations.

Accommodation

How many guests can we accommodate at Hidden River Cabins?

We are able to provide accommodation for up to 128 guests on our site and if you need more please just let us know – we know some great places nearby.

How many properties do we need to book for our wedding?

We do ask that a minimum number of properties are taken, this varies with the date of your wedding. To book your wedding mid-week on a Tuesday or Thursday the accommodation needs to be booked for 2 nights or 3 nights when booking your wedding on a weekend. Please see our pricing guide for more details or ask your wedding coordinator.

What time is check in and check out?

Check in time is 4-7pm and check out is 10:30am.

What time can we get there the day before the wedding?

We do ask that the couple arrive with us around 2pm to put out your own decorations, table plan, ceremony chair reserved signs, table setting etc and go through the music for the ceremony with your coordinator. Then if you would like to put anything in the accommodation for your guests you can also do so before they arrive to check in from 4pm.

Do you provide cots for children?

Yes, travel cots can be provided. These are priced at £20 and don’t include linen.

Do you have a car park?

Yes – there is car parking available at each property for around 3 cars, 14 cars at Hidden River Cafe and 30 cars at Hidden River Barn. Overflow car parking is also made available during the summer months if needed. To enable your guests to avoid the dreaded “Driver” status you can also arrange for a minibus to drop off and collect your guests, any larger coaches will be able to drop guests off at the top of the hill but this does mean a short walk down to the barn.

Can I bring my dog?

Yes, your four-legged friend is welcome to join in your celebrations! We are pet friendly and allow up to 3 dogs in each cabin.

Book a dog chaperone for your big day so they can be your ring bearer, or just stop by for a few photos. See our recommended suppliers list upon booking.

The barn and restaurant are both also pet friendly.

Ceremony

Can we get married outside? How easy is it?

The majority of barn wedding ceremonies take place on the mezzanine level upstairs with the window as your back drop however please chat to our wedding coordinators if you would prefer an outdoor ceremony and we can see if it is possible.

Do you supply a master of ceremonies?

We are able to supply a MOC but it does always provide an extra special touch to have a family member or friend do this for you as they can make it more personal.

Do I need to book a registrar and what time should I opt for? Who do I contact for this?

You must book your registrar or celebrant as soon as possible. You may not be able to do this until 2 years before the big day so get in touch with them as soon as possible and set reminders for the date they open the bookings so you don’t forget.

How much do the registrars charge? Do I pay them directly?

Ceremony prices with Cumbria Registrars start at £370 and can vary according to the date, time & style of ceremony you decide to go for. Once you have made contact they will be able to give you a much more accurate costing and you would pay them directly.

What time should we book the ceremony for?

Whatever time you like – some people like a later ceremony and some people like an earlier one – the most popular time is between 1-2pm but this doesn’t work for everybody. We do recommend that larger weddings choose an earlier time in the day to allow for plenty of celebratory time. Winter weddings are best around 1pm to make the most of the day light hours for lots of photographs before the sun sets.

What time should we ask our guests to arrive for?

The bar is open 1 hour before your ceremony for 30 minutes to allow guests to grab a drink when they arrive ahead of making their way upstairs. This also allows leeway for any notoriously late guests to be there on time before the ceremony commences.

Can we play our own music during the ceremony and wedding breakfast?

Yes of course, you can make a playlist on your Ipad, laptop etc. Alternatively you could even hire a musician to do this for you if preferred.

How many tracks should the ceremony music include?

We recommend 5 for pre-ceremony, 1 for walking down the aisle, 3 for signing the register and 1 more for your exit song. You can also choose to create your own playlist for the wedding breakfast which we will more than happily play for you through our sound system.

Can we throw confetti?

Yes of course you can!…As long as it is 100% natural dried petals. During your drink’s reception is a great time to have a confetti throw, your wedding party & photographer will be able to organise this. Confetti must be thrown outside and not inside. We do not allow confetti cannons.

What is the maximum number of guests you can accommodate for a ceremony?

Hidden River Barn can seat up to 160 people for a legal ceremony. Celebrant ceremonies can be held anywhere on site meaning “The sky is the Limit”.

Room Decoration & Set – Up

What is included in terms of the table set up?

All crockery, cutlery, glassware, tables, chairs & linen are provided. Any extra décor, centrepieces, runners, table numbers, place names etc. would need to be provided either by yourselves or by an external company. Upon securing your date you will be sent across a Recommended Suppliers List if you don’t fancy doing it all yourself.

What is included in terms of ceremony setup?

Chairs and signing table. All extras i.e. chair décor, aisle ends, pedestals etc. are to be supplied by either yourselves or an external company.

Do you supply highchairs?

Yes – please let us know how many you require during your planning meeting and highlight them on your planning spreadsheet.

Do you allow candles in your venue?

We are unfortunately not able to allow candles in the ceremony area due to the wooden ceiling and floor unless they are in lanterns or vases. They rows must be kept clear for guests to enter their seats. We do not allow floating candles as they can be really messy if knocked over. However you can have as many candles as you wish on the ground floor in the wedding breakfast area.

Can we bring our own decorations and props?

Yes of course – you can position these the day before your wedding (between 2pm and 6pm) so no need to worry about organising it for the big day itself.

Do you allow confetti canons?

We do not allow confetti cannons outside or inside the barn.

Do you have anything we can display our table plan on?

We do have two easel’s that you’re more than welcome to use.

When can we get into the venue to start decorating?

If you are getting married in the barn you can access from 2pm til 6pm to layout any decor. If you are having a more intimate ceremony in the cabin then please speak to our wedding team who will be able to advise on what time you can access the cabin the day before.

When do our suppliers come in and dress the room?

Your suppliers can have access on the day of the wedding, access to the barn is from 8.30am on the wedding day. Please liaise with your coordinator regarding any additional setups and please note that any fresh items i.e. cake and flowers would need to be delivered and setup on the day of the wedding and not before. This just ensures that they are kept in the best possible condition.

Entertainment

Can we have live entertainment?

Yes of course! Check out our recommended suppliers list but if nothing there suits you then feel free to look around. All musicians bands and DJ’s must be self-contained with Public Liability Insurance and provide their own PAT tested equipment.

Can my band/DJ use your PA system?

Yes – our sound system in the Barn is designed to provide backup for a Band/DJ. They must always bring their own equipment as ours is just used as an enhancement. There are also provisions (3 pin plugs) for them to plug in their own equipment.

Do you have disco lights?

We don’t, but your evening entertainment should be able to provide these for you. Alternatively please refer to our recommended suppliers list for extra decor or special effects like cold sparks, lighting canopies etc.

Do you allow fireworks, sparklers or Chinese lanterns?

Due to our idyllic rural location we cannot allow any fireworks or Chinese lanterns due to the risk of upsetting our neighboring livestock. You are able to use sparklers but you would also need to ensure a sand bucket is provided for all remains and they are only allowed in the allocated area and time – see you coordinator.

Do you have any noise restrictions?

We love a good party here at Hidden River and although we don’t have a noise limiter we do have to be respectful to the neighbours across the river. We would only ever ask for the music to be turned down if it is impossible to hear across the bar – so not very often at all.

Payment

How do I go about booking my wedding with you?

If you are ready to confirm your big day with us then we would require a booking fee of £2000 which will secure the venue, accommodation and our services.

For weddings booked 12+ months in advance a £500 booking fee can be paid to secure and then one month later the remaining £1500 would be due.

All payments can be made by calling us on 01228 791318 or in person.

Booking fees are non refundable.

You would also need to provide a signed copy of the Wedding Terms & Conditions within one week of booking.

What happens after I’ve paid the booking fee?

Once this has been received we will send out your full confirmation along with a payment breakdown schedule to make the “Paying off” process with us as easy as possible. All payments are to be made over the phone and are broken down into the following payments:

  • 1 year before wedding*
 25% of Total remaining balance
  • 6 months before wedding* 50% of Total remaining balance
  • 2 months before wedding Total remaining balance Final Balance
  • * or as per prior arrangement with the venue.
